Zero Net Pay on a Paystub: A Practical Review Checklist

Reviewed October 16, 2026. Examples are fictional and illustrate record review, not individual tax or legal advice.

A zero-net statement deserves an explanation, but the number alone does not identify an error. Review the payroll event before treating it as an ordinary cash paycheck or trying to produce a replacement.

Identify the kind of payroll run

Ask whether the statement belongs to a regular run, a correction, a void, or a noncash reporting entry. Confirm its payment date and whether any cash disbursement was expected. A voided document should not be confused with the final statement for that period.

Review each category separately

Check earnings against actual hours or approved salary. Then review taxes, benefit deductions, other withholdings, and any noncash items. A number listed as compensation does not always mean the same amount will be deposited in a bank account. Ask payroll to explain unfamiliar codes rather than assigning your own meaning.

A balanced total is only the first check

For illustration, $100 in cash earnings minus $100 in listed deductions produces zero arithmetically. That does not establish that the deductions were authorized, correctly taxed, or lawful. Wage protections and deduction rules vary; a reviewer must check those issues separately with appropriate guidance.

Separate a zero statement from a missing payment

A statement with $0 net pay and a statement with positive net pay that has not reached the bank are different problems. For a positive-net statement, follow the net pay versus direct deposit checklist. For a zero-net statement, first establish what payroll event the document represents.

Three questions for payroll

  • Is this the final issued statement, a void, or an adjustment record?
  • Was a cash payment expected, and which entries explain the zero?
  • How did the entry affect current and YTD wages, taxes and deductions?

For example, $600 of cash earnings minus $600 of listed deductions gives $0 net. If $100 of those deductions is an unexplained carryover, record that specific item as unresolved. Do not assume the balanced total proves the deduction was authorized or permissible.

Check the explanation against evidence

Match each deduction to an authorization, benefit election, withholding instruction or correction record as appropriate. Employer-benefit deductions can raise minimum-wage and overtime issues under federal law; state rules may add protections. The Department of Labor’s deduction guidance explains the federal limits for uniforms and other facilities. It is not blanket permission to deduct every payroll expense.

Keep an exception note with the pay date, statement reference, disputed line, payroll explanation and resolution. Use the payroll register reconciliation guide to compare records and the correction guide if the underlying statement is wrong.

Ask for supporting records

Request the calculation and the reason for any unusually large deduction or adjustment. Compare benefit authorizations, correction notices, and the relevant pay-period records. If an amount was carried forward from a prior period, ask how that balance arose and where the original entry appears.

Keep the payment question separate

If payroll says cash wages were paid, request the payment reference and destination breakdown. If no payment was expected, obtain the explanation for the statement. Do not fabricate a deposit or alter earnings just to make the document look more typical.

Escalate an unresolved issue with facts

Keep the original statement, dates, written questions, and payroll responses. Consult the applicable state labor agency or qualified adviser if an unexplained withholding remains. A document generator formats verified information; it cannot decide a wage dispute.

The practical workflow above should be used with the rules that apply to the employee and payroll arrangement.

Prepare a paystub from verified payroll records

Use the PayStubPro generator to format accurate payroll information. Basic pay stubs cost $1 each. W-2 and 1099 forms cost $9.99 each. A generated document does not establish that wages were paid or guarantee compliance or acceptance.
